Manage your enterprise templates

If you have standard files that you need to send out over and over again, you can create enterprise templates of those documents, and apply on the same documents (when required) to quickly reuse all the workflow configurations. You can add recipients, form fields, initials, in-persons, signature type, signature position, signing sequence, configure reminders, certify document and much more in an enterprise template. 


These enterprise templates are available to all the enterprise users within your enterprise, during the document preparation mode, for the efficient and robust re-usability of workflow configurations defined in these templates. From here you can manage (Add, Import, Export, Clone, Edit, and Delete) the enterprise templates as required.




Create a new enterprise template

  1. Login with your enterprise admin credentials.
  2. Click your profile drop down menu (available at the top right corner).
  3. Click the "Enterprise Settings" option. 
  4. Click the "Templates" option from the left menu. Your existing enterprise templates will be listed.
  5. Click  from the grid header. The "Create Template" screen will appear.



  1. Add a document for your enterprise template. All the workflow related configurations will be done on this document. 
  2. Add recipient(s) and placeholder(s) as required.
  3. Configure workflow type/ order.
  4. Configure special privileges for each recipient/ placeholder as required.
  5. Add email message as required. 
  6. Click the "Next" button to proceed to the document viewer screen.
  7. Add data fields for the recipients as required.
  8. If required, mark this template as read-only
  9. Once you have set the required configurations, click the "Done" button.
  10. A dialog will appear, specify the name and description of this enterprise template.
  11. Click the "Public" option, and click the "Save" button.

Only those enterprise templates are available to your enterprise users for usage that are marked as "Public". It is therefore recommended not to select the "Public" option, unless an enterprise template is fully configured.
Similarly, you can un-select the "Public" option from an existing enterprise template to hide it from your enterprise users. 

Export an exiting enterprise template
At times you need to export the existing templates from your account to your local machine, either to save your account space or share them with others. The templates are exported in json format and can be easily imported later in any SigningHub account. This is the smartest way to reuse or share the same templates without going through any configuration efforts.

  1. Click your profile drop down menu (available at the top right corner).
  2. Click the "Enterprise Settings" option. 
  3. Click the "Templates" option from the left menu. Your existing Enterprise templates will be listed.
  4. Search/ move to the template to export. Click  from the grid header and select the "Export" option. 



  1. A dialog will appear. Click the "Export" button. 
    The template will be exported in the json format to your local machine.


Import an exiting enterprise template
You can import the exported templates from one account (source) to another (destination) when required. This is the smartest way to reuse or share the same templates without going through any configuration efforts.

  1. Click your profile drop down menu (available at the top right corner).
  2. Click the "Enterprise Settings" option. 
  3. Click the "Templates" option from the left menu. Your existing Enterprise templates will be listed.
  4. Click  from the grid header and select the "Import" option. 



  1. A dialog will appear. Browse the exported template (i.e. .json file) from your machine and click the "Import" button. 
    The template will be imported in your enterprise account.



Make a clone of your enterprise template
At times you need to create multiple enterprise templates with a little variations. The best way to achieve this is to create a template with all the configurations and then make clones of it. You can then edit each template clone as per requirement.

  1. Click your profile drop down menu (available at the top right corner).
  2. Click the "Enterprise Settings" option. 
  3. Click the "Templates" option from the left menu. Your existing Enterprise templates will be listed.
  4. Search/ move to the template to clone and click adjacent to it. 



  1. A dialog will appear. Specify name of the clonal template and its description as required. The clonal template name must be different than the original template name.
    Select the "Read Only" checkbox, if you want to save the clone as a read-only template. 
    Select the "Public" checkbox and click the "Save" button. Only public enterprise templates are available to the enterprise users for usage.  


Edit your enterprise template

  1. Login with your enterprise admin credentials.
  2. Click your profile drop down menu (available at the top right corner).
  3. Click the "Enterprise Settings" option. 
  4. Click the "Templates" option from the left menu. Your existing enterprise templates will be listed.
  5. Search/ move to the template to edit and click  adjacent to it. The document viewer screen of template will be opened in editable mode. 



  1. Edit the required content as explained above. You can edit template name, description, signers, reviewers, placeholders, signer information fields, signing actions, form filling, document permissions, certify document settings, workflow type, post processing, email configurations and signing/ reviewing sequence. 
    Use  from left side of the screen to change certify document settings, while  of right side of the screen will let you manage the recipients. 
  2. Click the "Done" button to save all the changes.


Rename your enterprise template

  1. Login with your enterprise admin credentials.
  2. Click your profile drop down menu (available at the top right corner).
  3. Click the "Enterprise Settings" option. 
  4. Click the "Templates" option from the left menu. Your existing enterprise templates will be listed.
  5. Search/ move to the template to rename and click  adjacent to it. The document viewer screen of template will be opened in editable mode. 



  1. Click  from the document viewer screen header, as marked with the red arrow.



  1. A dialog will appear showing the previous name of template in editable mode. Specify the new name and description of this template in the provided field accordingly, and click the "Save" button.


Delete your enterprise template(s)

  1. Login with your enterprise admin credentials.
  2. Click your profile drop down menu (available at the top right corner).
  3. Click the "Enterprise Settings" option. 
  4. Click the "Templates" option from the left menu. Your existing enterprise templates will be listed.
  5. Select the template(s) to delete. Click  from the grid header and select the "Delete" option. 



1. You can create as many template clones as allowed in the template quota of your service plan.
2. The workflow configurations within a read-only template cannot be modified during document preparation, except updating placeholders. 
3. ​To experience the exact settings, it is recommended to use the template (being created) on the same documents. The actual positions of configured signature/ initials/ in-person fields may alter, if this template is applied on different type or size of documents.
