View & sign your workflow documents

All the documents that have either been shared by you (with other users for processing) through any of the CRM entities (i.e. Opportunities, Contracts, Leads, Accounts, Contacts, etc.), or have been shared with you (by others) are listed in the "Check Status" section of the same entity object. 

You can enjoy the document owner view inside the "Check Status" section for your shared documents, and can also sign your "Pending" documents from here. Consider an example of signing a document of the "Opportunities" entity, the same process can be followed to sign the documents of other CRM entities.

View/ sign your Opportunities document
  1. In case of an on-premises deployment, log into your locally deployed Dynamics CRM instance through your domain user and password (active directory credentials).
    OR
    In case of an Office 365 installation, log into your Office 365 account.
  2. From the "Sales" menu, click the "Opportunities" option.



  3. Click the desired Opportunities object from the list, whose document is required to view and sign. 



  4. Click the "Check Status" option.



  5. A screen will appear, listing all your shared/ received documents (of the opened Opportunity) along with their respective information, i.e. Document Name, Owner, Next Recipient, Date, Document Status, and Actions. See the below table for columns description. When there are multiple documents in a shared package, the files will be separated by commas. 
    Click  against a pending document to sign.



    Column Headers
    Name Description
    Name This shows the name(s) of document(s) in each package, which you have shared from your Dynamics CRM account or have been sent to you for processing. 

    Owner

    This shows the document owner name who shared the package, i.e. Peter Kavin.

    Next This shows the name of configured next recipient in the SigningHub workflow.

    Date This shows the date and time on which package was shared.

    Status This shows the current status of documents package.

    Actions This shows the actions that can be performed on each shared documents package, i.e.:
    • Click  to view and/ or sign a shared package. SigningHub will authenticate you within Dynamics CRM before opening the document.
    • Click  to see the updated status of a shared package. This option will appear against the "Pending" and "In-Progress" documents only.
    • Click  to download the Workflow Evidence Report of a package on your local system. This option will appear against the "Completed" packages only and is subject to your configured Document Settings. Once the download is complete, the color of icon is changed from black to green.
      The completed document packages are shown to their document owners only. 
    Absence of any action against a package implies that it is not related to you.


  6. The authentication screen of SigningHub will appear within Dynamics CRM, specify your credentials to authenticate yourself.
    There are multiple authentication ways in SigningHub, click the "More Login Options" link to use the advanced login options, see details.

    You can also skip the SigningHub authentication screen by turning on the "Allow recipients to access the documents without login when using email link or integrated application" checkbox from your SigningHub Enterprise account, see details.



  7. After successful authentication, the selected document will be opened inside SigningHub for signing. See details how to sign a pending document.
  8. Once the document is signed, a confirmation screen will be displayed, showing the file(s) name(s), package ID, and performed action. Click the "OK" button to conclude your package signing activity and return to the opportunity page.

In order for a recipient (contact) to view his/ her pending documents within Dynamics CRM, s/he should have rights to view the respective entity of CRM whose document was shared, i.e. in the above mentioned example, the signer (Sara Jinn) should have rights to view the "New sales opportunity" object. They can see the shared document(s) under the "Notes" tab of the same opportunity object. 
2. The signed document (as per document settings configuration) can be seen under the "Notes" tab of the same CRM entity (i.e. Opportunities, Contracts, etc.), where document was initially attached/ added. The signed documents can also be seen inside the "Check Status" section of the same CRM entity object.
