Delete a Document

When you delete a document, it is purged from your SigningHub account and cannot be recovered again. You can delete any document(s) from your documents list, provided it is allowed in your role. But before deleting a document, you need to know the following considerations:

  • The document will be recalled from all those recipients' accounts who haven't signed/ approved/ updated the document.
  • Such recipients will be notified through an email for this activity.
  • Those recipients who have signed/ approved/ updated the document before deletion, will still have the signed/ approved/ updated copies of the document in their accounts.

Before it is signed/ approved/ updated by the 1st recipient

In Progress

Sequential

  • The document will be recalled from the 1st recipient's account. 
  • The workflow will be stopped. 
  • The recipient will be notified through an email for this activity.

After it is signed/ approved/ updated by the 1st recipient and before the 2nd recipient's signature

In Progress

Sequential

  • The document will be recalled from the 2nd recipient's account.
  • The 2nd recipient will be notified through an email for this activity.
  • The workflow will be stopped.
  • The 1st recipient will still have the signed/ approved/ updated copy of the document in their account.

  • The document will be recalled from all those recipients' accounts who haven't signed/ approved/ updated the document. 
  • Such recipients will be notified through an email for this activity.
  • Those recipients who have signed/ approved/ updated the document before deletion, will still have the signed/ approved/ updated copies of the document in their accounts.

The document will be declined and shown with the "Declined" status to the document owner and the recipient.

The document will be declined, and workflow will either stop at that point or continue to the next signer, based on the workflow configuration (i.e. the "continue workflow on decline" option is ticked or not):

  • When the option is ticked, the document will be shown as "Declined" to the document owner from the recipient's account. However, the document is still moved to the next recipient in the workflow.
  • When the option is left un-ticked, the document will be shown as "Declined" to the document owner from the recipient's account, and the workflow is stopped.

After receiving it from a document owner

Parallel

The document will be declined, and workflow will either stop at that point or continue to the other recipients, based on the workflow configuration (i.e. the "continue workflow on decline" option is ticked or not):

  • When the option is ticked, the document will be shown as "Declined" to the document owner from the recipient's account. However, the document is still available for other recipients in the workflow.
  • When the option is left un-ticked, the document will be shown as "Declined" to the document owner from all the recipients' accounts and the workflow is stopped.

Deleting a document in "Draft", "Signed", "Approved", "Updated", "Completed, or "Declined" status does not have any impact on the workflow.


Delete a document

  1. Click the "Documents" option, available at the top of the SigningHub screen.
  2. From your documents list, locate and select the document(s) which you want to delete.

  3. Click  from the appearing toolbar.
    The selected document(s) will be purged from your SigningHub account after displaying a confirmation message.


​If you could not find  icon on the toolbar, this implies it is not allowed in your role to delete a document.
