Configuring form filling in a template

SigningHub enables you to configure the form filling functionality in a template for PDF forms. In this regard, the fields of a PDF form can be assigned to a particular recipient of the workflow. When the workflow related to this template document is triggered, the system will allow only the specified recipient (signer/ reviewer) to fill in the assigned fields upon their turn. In case a form field is not assigned to any recipient, then all recipients in the workflow can enter text in that field before singing the document.

A document owner can also make it mandatory for the recipient to fill in the form field(s), in this case the document cannot be signed without specifying information in those form field(s). When specified, such information becomes the permanent part of a signed PDF document.


To configure form filling in a template,
  1. In case of a personal template, click the "Settings" option from the top menu.
    Or in case of an enterprise template, click the "Enterprise" option from the top menu.
  2. Click the "Templates" option from the right menu.
  3. Click  from the main grid header. The "Create Template" dialog will appear.
  4. Specify template name and description in the respective fields.
  5. Click the "Select Document" button and browse the PDF form for this template. The selected PDF form will be opened to configure template details, as shown below.

 
Please follow the numbering to learn the step by step process of configuring the form filling provision.

  1. Add the recipients and/ or placeholders as required. The recipients will be added under "Workflow Details" (see step 2). 
  2. The list of added recipients and placeholders is maintained accordingly under the "Workflow Details" caption.
  3. Take the cursor to the desired field of the PDF form and click  appearing on it.



  4. The "Form Field" dialog will appear. The "Assigned to" field will list all the configured recipients of the template. Select the required recipient to assign the field and tick the "Required" option if you want SigningHub to enforce the recipient to fill in the field. Click the "Save" button. Once a form field is assigned to a recipient, it can be seen by taking the cursor over it. To remove the recipient association, click the red cross .
    Repeat the steps 3 & 4 to configure other fields of PDF form as well.
  5. Click the "Next>" button to continue.
  6. Click the "Save Template>" button from next appearing screen.
  7. The "Save Template" screen will appear, edit template name and description if required and click the "Save" button to save these configurations.

  1. SigningHub allows the assigning of form fields, as well as all other basic form components such as radio buttons, check boxes and drop down lists.
2. In case a form field is not assigned to any recipient, then all recipients in the workflow can enter text in that field before singing the document.
3. The template (being created) with PDF form, can be applied on the same PDF form only.
