Configuring document permissions in a template

SigningHub enables you to configure document permissions in a template. In this regard, you can set permissions for document printing access, download access, text fields inclusion, document attachments and merging, access password, access duration and legal notice for each recipient. When the workflow related to this template document is triggered, the system will restrict the recipients (Signers/ Reviewers) from these activities accordingly.

To configure document permissions in a template,
  1. In case of a personal template, click the "Settings" option from the top menu.
    Or in case of an enterprise template, click the "Enterprise" option from the top menu.
  2. Click the "Templates" option from the right menu.
  3. Click  from the main grid header. The "Create Template" dialog will appear.
  4. Specify template name and description in the respective fields.
  5. Click the "Select Document" button and browse the template document. The selected document will be opened to configure template details, as shown below.



Please follow the numbering to learn the step by step process of configuring the document permissions.

  1. Add the recipients and/ or placeholders as required. The recipients will be added under "Workflow Details" (see step 2). 
  2. The list of added recipients and placeholders is maintained accordingly under the "Workflow Details" caption. Click  adjacent to each recipient one by one to configure exclusive permissions for them. The "Recipient Settings" provision will appear in the secondary right menu. 
  3. Field to show the recipient name (signer/ reviewer) for whom the permissions are being configured. You can also select other recipients (of the workflow) one by one from here to configure exclusive permissions for them.



  4. Select the check box(es) to give the respective permissions to the recipient and click the "Save" button. For details see the "Permissions" table below. 
  5. Click the "Next>" button to continue.
  6. Click the "Save Template>" button from next appearing screen.
  7. The "Save Template" screen will appear, edit template name and description if required and click the "Save" button to save these configurations.

Allow print
Ticking this check box will enable the recipient to print the document.
Allow download
Ticking this check box will enable the recipient to download the document.          
Allow adding text fields
Ticking this check box will enable the recipient to add text fields during the workflow. The added text will become permanent part of the pdf.
Allow attachments & merging
Ticking this check box will enable the recipient to add document attachments, and merge other PDF documents with the shared document during the workflow.
Allow document access via password
Ticking this check box will enable you to set an exclusive password for the recipient to access the document.
Allow changing of recipients
Ticking this check box will enable the recipient to replace himself or change other configured recipients in the workflow. 
Allow document access via OTP Ticking this check box will enable you to specify a mobile number of the recipient to send OTP. Whenever the recipient will try to open this document an OTP will be sent to that mobile number. The document will be opened/ accessible only upon providing the correct OTP.
Document access duration  
Ticking this check box will enable you to set specific time period/ duration for the recipient to sign the document. The recipient would not be able to access the document beyond this duration.
Legal notice
Ticking this check box will enable you to set a legal notice for the recipient to agree before signing the document. Your personal and enterprise (in case of an enterprise user) legal notices will be listed for selection.



1. ‚ÄčTo experience the exact settings, it is recommended to use the template (being created) on the same documents. The actual positions of configured signature/ initials/ in-person fields may alter, if this template is applied on different type or size of documents. 
2. The availability of OTP security feature is subject to your subscribed service plan. If you cannot find this option in your account, upgrade your service plan.
